Private or Group Travel: Which Should You Choose, and Why Isn’t a Private Tour Always More Expensive?

If you're planning a trip, I recommend comparing two options from the start: a ready-made group tour and an itinerary organised specifically for you. Especially if you're travelling with family or friends. I don't think choosing a tour based solely on the advertised price is a good idea. First, it's worth looking at what you're actually paying for and how well the itinerary suits your group.

Group tours: a ready-made itinerary and shared costs

On a group tour, the route, hotels, transport and excursions are usually arranged in advance. You don't have to find connections between cities, coordinate schedules with guides or deal with dozens of bookings. It's convenient if you want to see the main attractions without planning everything yourself.

For solo travellers, there's another advantage: fellow travellers. You can meet new people, explore together during free time and share your impressions. On the other hand, if you prefer peace and quiet and like setting your own pace, constantly being with a group can become tiring.

The savings mainly come from the size of the group: everyone contributes towards the cost of the coach and guide. Tour operators may also receive group rates for accommodation and admission to attractions. Sometimes this gives group travel a considerable price advantage over a private trip.

The downside is the schedule. If the coach leaves at eight in the morning, you can't linger over breakfast. There's a fixed amount of time for each museum or sightseeing stop, and usually you can't stay an extra hour in a town you've particularly enjoyed. Even a well-designed itinerary won't necessarily match your personal interests.

Private tours: more control over your trip

A private tour doesn't have to be for just one person. It can be organised for a couple, a family with children or your own group of friends. And you don't have to book hotels, find a driver or arrange admission tickets yourself. A tour operator can handle all of that.

When planning the itinerary, you can choose a pace that works for you. Travelling with children? Shorten the drives and allow time for breaks. Love nature? Spend more time outdoors. Prefer charming small towns? Leave out some museums and explore those towns instead. It's also easier to plan stops along the way at places that genuinely interest your group.

You can choose hotels to suit your preferences, too. Some people want to stay in the historic centre so they can explore on foot in the evening. Others prefer a hotel on the outskirts with a swimming pool and parking. These choices affect both the price and the amount of time you'll spend travelling.

Of course, private travel doesn't mean unlimited flexibility. Hotels and excursions are booked in advance, attractions have opening hours, and drivers and guides work according to agreed schedules. Changing the itinerary during the trip may require new reservations and additional payments. You'll also need to reach an agreement with your friends: one person may want to go hiking in the mountains while another would rather spend the day at the beach.

Where does the price difference come from?

Let's take a hypothetical group of six friends planning to travel around Europe for several days. They need a minibus with a driver and a local guide.

Transport costs are generally based on the route, duration and vehicle category. If all six travellers fit into one minibus, they share its cost between them. The same principle often applies to guides: private excursions are frequently priced per group or for a set number of hours.

A service that might be expensive for two people can become quite reasonable per person when the cost is divided among six.

However, a larger group doesn't automatically mean a lower price. If the number of passengers exceeds the minibus capacity, you'll need a larger vehicle, which can significantly increase the total cost. Accommodation, meals and entrance tickets are often charged per person, so those expenses won't automatically decrease. Apartments or family rooms can sometimes help reduce accommodation costs, but it's still necessary to compare the options.

That's why a private trip with your own group can sometimes cost about the same per person as an organised group tour, or even less under certain conditions. For a couple, however, the private option may be considerably more expensive.

It's also worth remembering that large tour operators can negotiate special rates based on their booking volumes. Smaller private groups may not have access to the same conditions.

Compare the final cost, not just the advertised price

Two offers can only be compared fairly when the travel dates, duration and number of travellers are the same. Check the standard of the hotels, room arrangements, vehicle category and number of guide hours included.

One tour may include excursions, admission tickets, meals and transfers, while another charges separately for some or all of these services.

Also look at how much free time the itinerary allows. A programme can include plenty of excursions but leave only brief stops in each city. If you'd rather explore independently, sit in a café or spend an evening away from the group, such a busy itinerary may not suit you.

If you're travelling alone and enjoy meeting people, a group tour might be the better option. For a family with children or a group of friends, it's worth requesting a private itinerary quotation, especially if the trip involves plenty of driving and sightseeing.

Personally, I'd make the decision after comparing the total costs and schedules: how much time you'll spend in places that actually interest you, how much time you'll spend on the road and which restrictions you're comfortable with.
